Privacy Policy
This policy explains how Morgan County Scouting, Inc. handles information through the MoCo Scouting website.
Scope
Who this policy covers
MoCo Scouting is the public name of Morgan County Scouting, Inc., the local charter organization supporting Pack 5391, Pack 91, and Troop 5391. This policy applies to information handled through mocoscouting.org. It does not govern Scouting America, the Northeast Georgia Council, Google, Cloudflare, or other websites and services with their own privacy practices.
Information
Information we collect
Inquiry forms require an adult contact name, phone number, email address, and comments. A visitor may also provide unit interest or a child grade so the inquiry can be routed to the appropriate local program. Information sent directly by email is also received and handled as correspondence.
Technical information
Like most websites, the hosting and security systems may process an IP address, browser and device details, requested pages, timestamps, referring page, and error or security events. This information is used to deliver the site, diagnose problems, prevent abuse, and maintain security.
Authorized editor accounts
Parents do not need a website account to use public pages. Authorized leaders and content volunteers may have WordPress accounts. The site stores the account details, role assignments, content revisions, and audit information needed to manage access and publishing.
Purpose
How we use information
Information is used to answer questions, arrange visits, identify an appropriate local program, provide requested next steps, operate calendars and public resources, administer authorized editor access, protect the site, and meet safety or legal obligations. MoCo Scouting does not sell or rent personal information and does not use inquiry information for unrelated commercial marketing.
Delivery and sharing
How inquiry forms are delivered
A successful inquiry is emailed to the designated MoCo Scouting or unit recipient, with an audit copy sent to the webmaster. The email includes a PDF copy for administrative follow-up. The temporary PDF is deleted from the web server after the email attempt, and successful submissions are not intentionally saved in the WordPress database.
When information is shared
Inquiry information is shared only with local leaders and service providers who need it to respond, operate the website, deliver email, or maintain security. Information may also be disclosed when reasonably necessary to comply with law, respond to valid legal process, protect a person from harm, investigate misuse, or protect the rights and systems of Morgan County Scouting, Inc. and its programs.
Technology
Hosting and service providers
Big Mountain Computers hosts and maintains the website on a Cloudron-managed WordPress system. Email providers carry inquiry messages to the listed recipients, and Google supplies the web fonts used by the site. These providers may process technical information under their own terms and privacy policies.
Cloudflare Turnstile
Inquiry forms use Cloudflare Turnstile to distinguish people from automated abuse. When a form page loads, Cloudflare may process browser and network signals such as an IP address, user-agent information, TLS characteristics, the site key, and the requesting site. MoCo Scouting uses the result only to protect the forms from spam and misuse.
Cookies and analytics
The public site does not currently use advertising cookies or audience analytics. WordPress uses login and preference cookies for authorized editors. Cloudflare Turnstile may use strictly necessary browser storage or cookies on form pages. Disabling necessary cookies or scripts may prevent login or form submission.
Youth privacy
Children and youth privacy
This website is written for parents, guardians, volunteers, and other adults. Inquiry forms are intended to be completed by an adult, not independently by a child under 13. If MoCo Scouting learns that a child submitted personal information without appropriate adult involvement, a parent or guardian may request its deletion.
Do not send sensitive records
Do not submit medical records, completed health forms, birth dates, emergency contacts, membership numbers, payment information, school schedules, passwords, or other sensitive youth or family records through a website inquiry form. Use the secure process provided by unit leadership for records required to participate in Scouting.
Retention and protection
Retention
Inquiry recipients are instructed to delete electronic copies and securely destroy printed copies within 180 days unless the information is still needed for an active inquiry or must be retained for a safety, operational, or legal obligation. Authorized account records, content revisions, backups, and security logs may be retained as needed to administer and protect the website.
Security safeguards
The site uses HTTPS, access controls, security headers, anti-spam verification, restricted administrative roles, backups, and software maintenance. No internet transmission, email system, or storage method can be guaranteed completely secure. Please avoid placing unnecessary sensitive information in an inquiry.
Your choices
Your choices and requests
You may choose not to use an online form and instead contact a listed leader by email. You may ask MoCo Scouting to identify, correct, or delete inquiry information it controls. A request may require identity verification, and some information may be retained when reasonably necessary for an active matter, safety, security, backups, or a legal obligation.
External websites and registration
This site links to Scouting America registration, council resources, Google services, and other external websites. Information entered after following an external link is collected by that organization, not by this website, and is governed by the external organization's privacy policy. Review its policy before submitting personal, registration, medical, or payment information.

This policy may be updated when website features, service providers, or information practices change. The revised policy will be posted on this page and the Last updated date will be changed. Material changes may also be announced elsewhere on the website when appropriate.
